Most clinics I speak to lose enquiries not because their marketing fails, but because the follow-up is slow. A patient messages at 9 pm, nobody answers until noon, and by then they have booked elsewhere. WhatsApp can fix part of that, if you set it up carefully and respect patient privacy.
Why WhatsApp fits appointment booking
Patients already use it daily, so a click-to-chat button on your website, Google Business Profile and ads removes friction. A simple first reply that confirms receipt and offers available slots is often enough to hold the enquiry.
Use the WhatsApp Business app or API appropriately
A small clinic can start with the WhatsApp Business app: a business profile with address, hours and website, a greeting message, an away message and quick replies. Larger hospitals may need the Business Platform through an approved provider for multiple agents and automation. Whichever you choose, use a dedicated clinic number rather than a staff member personal phone.
Write messages that are administrative, not promotional
Keep automated replies to booking logistics: confirming the date, the doctor, the address and what to bring. Do not send diagnostic advice, treatment promises or discount-led pressure. Any promotional messaging should follow ASCI and NMC advertising norms, and should only go to people who agreed to receive it.
Consent and data protection
Tell patients how their number and details will be used, collect only what you need to book, and keep a record of consent. The Digital Personal Data Protection Act applies to personal data, and health information deserves extra caution. Avoid sharing reports or prescriptions over a group or an unsecured staff device, and decide who on your team can see conversations.
Build a simple flow
A workable flow is: greeting, a question about the type of consultation, preferred date and time, confirmation, then a reminder the day before. Add a clear handover to a human for anything clinical. Test the flow yourself on a phone before it goes live.
Measure it
Count chats started, appointments confirmed and no-shows, and compare them with phone and form enquiries. Use a distinct tracking source for WhatsApp links so you can see which pages and ads bring the conversations.
